In an emergency, call 911 first
Incident Ally is a paperwork tool. It is not an emergency service, it does not contact anyone for you in an emergency, and it must never delay care. Care for the child first. Do the paperwork after.
Reporting duties stay with you
North Carolina law places reporting duties on child care providers and their staff. For example:
- Suspected abuse or neglect must be reported as the law requires, including to the county department of social services and, for incidents in a child care facility, to DCDEE (919-814-6300). Anyone who suspects abuse or neglect has a duty to report it.
- A child's death must be reported to DCDEE within the time the rules require.
- A copy of the incident report goes to your licensing consultant within the time the rules require when a child receives medical treatment.
- Medication errors need their own report.
The app shows reminders about some of these duties. Reminders are not a complete list, are not legal advice, and do not replace your own knowledge of the rules. Whether and when to report is always your decision and your responsibility.
Not affiliated with the State
Incident Ally and ACED | Advanced Concepts in Educational Design LLC are not affiliated with, endorsed by, or acting on behalf of the North Carolina Department of Health and Human Services, the Division of Child Development and Early Education (DCDEE), or any licensing consultant. The official forms are public documents of the State of North Carolina, filled exactly as published. If the State revises a form, use the current form.
No professional advice
Nothing in Incident Ally, including its prompts, reminders, suggestions, emails, help articles and this website, is legal, medical, licensing, insurance or other professional advice. For advice, ask your licensing consultant, a lawyer, a health professional or your insurer.
AI can be wrong; you check every report
Incident Ally uses speech recognition and AI to fill out forms. These tools can mishear, misunderstand or misplace information. The app is designed to leave a field empty rather than guess, but you must read and correct every report before it is signed or sent. The person who signs is responsible for its accuracy. Prevention suggestions are optional ideas, never facts about what happened.
Translations are a courtesy
The Spanish interface and parent summaries are provided to help. The official form is completed in English, and the English version controls.
No guarantee of compliance or outcome
Using Incident Ally does not guarantee that your records are complete or compliant, or any result in a licensing visit, inspection, investigation, insurance claim or lawsuit.
Keep your own records; keep a paper backup
The app deletes report details after your retention period. The PDFs emailed to you are your record: keep them as long as your license requires. Internet, devices and services can fail; keep the paper form available.
Offline recordings
When there is no internet connection, a recording may be kept, encrypted, on the phone until it can be sent. If the phone is lost, reset or its browser data is cleared, the recording may be lost. Check that every report was filed.
